Medical Support Assistant - Primary Care Team (Dayton, OH)

The role
Our client is a large medical center in Dayton, Ohio adding ten advanced medical support assistants to its primary care teams. You are the administrative anchor of a care team: the person who keeps one or more clinic schedules full and accurate, gets patients checked in with their records right, and moves every non-clinical task from request to closure.
You work on site, weekday clinic hours, alongside the nurses and providers of your assigned team, and you join the team's daily huddle and weekly meeting. The engagement is expected to begin October 19, 2026 and runs a base year, with a possible short extension. All positions are contingent on contract award.
What you will own
- The full range of front-desk work for your clinics: customer service, appointment schedules, office systems, and clinic access contingency plans that adjust appointment times, locations, and dates or move patients to other providers when a clinic is disrupted
- Accurate scheduling to department procedures, with patient input on every appointment, and escalation when clinic access falls short
- Daily review of active and pending consults, recall lists, and return-to-clinic communications for your team
- Demographic validation at every patient interaction, so mail and phone contact reach patients the first time
- Insurance capture as part of the revenue process: explaining the collection requirement, collecting and scanning coverage, and identifying third-party insurance
- Screening and routing phone calls under privacy rules and clinic processes
- Advising patients on travel reimbursement eligibility and helping convert special-mode travel requests into reimbursement claims
- Daily team huddles and weekly team meetings with your assigned care team
What we require
- Two to three years of experience in medical administration, or a certification from an accredited institution related to medical administration
- Fluent spoken, read, and written English
- Eligibility to pass a Tier 1 background investigation and exclusion-list screening
What will set you apart
- Prior experience in a large integrated health system or federal medical center
- Scheduling and check-in experience in a team-based primary care model
- Comfort with enterprise electronic health record scheduling systems
Work environment
On site at the medical center in Dayton, Ohio, in clinical areas and inpatient units; some support to the system's community clinics may be assigned. No telework. Ten assistants are being hired against a daily on-site minimum of three, so the team carries coverage for one another's leave.
Hours and coverage
Scheduled within 8:00 a.m. to 4:30 p.m., Monday through Friday, as set by the primary care department, 2,080 hours per year, with two 15-minute breaks and a 30-minute lunch. The client may adjust duty hours to patient care needs with 24 hours' notice.
Compliance and credentialing
Immunization and screening documentation (MMR, hepatitis B, varicella, TB, annual flu) and annual privacy and safety training are required. A facility access badge is issued after the background investigation.
